PayCanvas is a calculation and review layer for payroll that depends on operational data—such as hours, bookings, tips, pools, commissions, roles, locations, and documented adjustments. It is especially useful when a spreadsheet has become difficult to verify or explain.
How PayCanvas works
- Inputs come in. PayCanvas collects the configured booking, time, sales, tip, commission, and adjustment data needed for the payroll period.
- The data is normalized. Different names, identifiers, formats, and records are mapped into consistent people, roles, dates, locations, and amounts.
- The engine runs the Canvas. The Canvas contains the reviewed rules. The engine applies those rules as written; it does not invent a rate, mapping, or policy.
- People review the result. Reviewers can trace each amount, resolve supported factual questions, compare versions, and prepare available output files.
If an input cannot be normalized safely or a Canvas rule cannot be applied without guessing, PayCanvas stops or holds the affected amount for review.
PayCanvas is a good fit when
- Pay comes from more than one source, such as time records plus booking tips.
- Employees earn different amounts based on role, location, shift, booking, pool, or approved rule.
- Someone needs to explain where a number came from after payroll is calculated.
- Missing or conflicting data should be held for review instead of guessed.
- You need to compare versions and see exactly what changed after a correction.
- Operators want a payroll forecast before the period closes.
- An authorized user wants ChatGPT or another compatible assistant to help review the run through MCP.

What PayCanvas does not do today
PayCanvas does not file payroll taxes, administer benefits, move money, or pay employees. The current Approve & export surface is for review and file download; it does not officially approve, lock, submit, email, or pay a run.
Forecasting is an operating view, not an accounting forecast. It currently uses provisional booking subtotals from the configured booking input and calculated payroll. It does not yet model recognized revenue, cash receipts, settlements, operating expenses, opening cash, margin, or ending cash.
Available source connections, rules, exports, and actions depend on the configuration and features enabled for your payroll account. PayCanvas will show a blocker instead of pretending an unavailable action succeeded.
PayCanvas compared with Excel or Google Sheets
Excel and Google Sheets are flexible and familiar. They can be the right tool for a small, stable calculation that one person understands. PayCanvas becomes useful when the workbook itself is no longer enough evidence.

- Which output files does your payroll provider or reviewer require?
If those answers are not settled yet, PayCanvas can help surface the gaps, but it should not invent the payroll policy for you.
