Prerequisites
- Access to the selected payroll account and period.
- A calculated run for line-level evidence.
Trace an employee amount
- Open Review payroll and select an employee.
- Select a contributing line item.
- Review its date, location, earning stream, rule, amount, explanation, and retained source reference.
- Open Audit.
- Choose the employee and operating day.
- Expand automatic lines, manual adjustments, and resolutions to reconcile the daily and period totals.
The worksheet separates automatic pay, manual adjustments, resolutions, and the final employee total. Tip and photo pool views also show source, allocated, unassigned, participant, rule, and rounding context.
Review run history
- In Audit, find Run event history.
- Review timestamp, safe actor reference, event, safe metadata, hash/reference, and state transition.
- In the run or policy view, review the settings version, employee-mapping version, calculation version, recorded decisions, and balancing status.
- Compare the earlier and newer results when a recovery or resolution created a new version.
How version history works
- A calculation is tied to a locked snapshot of source data and settings.
- Applying a resolution or supported saved-data recovery keeps the earlier result and creates a new version.
- Recalculating a saved resolution does not contact the provider again.
- A current result does not rewrite historical results.
- Retained comparison state is separate from provisional/final calculation state.
Expected result
You can explain an amount from its source evidence through the rule and any reviewed decision, then identify the exact calculation version that produced it.
Privacy boundary
Audit and MCP evidence views use safe references, counts, and cleaned source descriptions. Technical reviewers can also use recorded hashes to confirm that a version did not change. These views do not return passwords, raw provider responses, raw reports, private mappings, customer details, or unrestricted source rows.
Troubleshooting
- No line evidence appears: confirm the selected period has a persisted calculation and that you loaded the detailed workspace, not only the forecast snapshot.
- A provider link is absent: not every source reference has a safe external URL.
- Totals changed after a resolution: compare the earlier and newer saved results. PayCanvas never rewrites the old result.
- Comparison is pending: retained comparison is an independent audit state and does not by itself determine calculation finality.
